Data protection


Pursuant to art. 13 (1) and (2) of the General Data Protection Regulation of 27 April 2016 (Official Journal of the European Union L 119 of 4 May 2016), we inform you that:

1. The controllers of your personal data are:

•    the Institute of Nuclear Physics Polish Academy of Sciences (hereinafter referred to as „IFJ PAN”); hereinafter referred to as „the controllers”

2.    In matters related to personal data protection, you can contact the Data Protection Officer of IFJ PAN at dpo@ifj.edu.pl or by phone: + 48 12 662 80 80

3.    Your personal data will be processed pursuant to:

a)  art. 6, item. 1 letter b of the General Data Protection Regulation of 27 April 2016, (processing necessary for the execution of the conference participation contract); 

b)  art. 6, item. 1 letter c of the General Data Protection Regulation of 27 April 2016 on the basis of the provisions of the Accounting Act of 29 September 1994 for the purpose of  book-keeping and tax documentation managing;

c)    art. 6, item 1 letter a of the General Data Protection Regulation of 27 April 2016, for the purpose of promoting the PhDia2025 conference by recording my image/voice sound and its distribution in publicity materials, including printed publications, promotional videos, and digital media including the school websites and social media*;informing me about future scientific events organized by IFJ PAN, publishing participant list on the conference website;

d) art. 6, item 1 letter a of the General Data Protection Regulation of 27 April 2016, for the purpose of preparing proper meals during the conference dinner with regard to allergies and food preferences.

4. The recipients of your personal data may be: 

• entities entitled to obtain personal data under provisions of law (e.g. court, police, tax authorities),

• providers of necessary services based on appropriate contracts (e.g. hotel, ZOOM platform), 

• all individuals with Internet access and access to publicly available list of conference participants and photos from the event.

5. Your personal data will be retained:

Under the provisions of law - for the period of 5 years counting from 1 January of the year following the final settlement of the event or for the period of limitation of claims specified in the provisions of law (data necessary for the purpose of the organization and accounting of the conference).,

For the purpose of promoting the PhDia2025 conference  - for 1 year after the end of the event or until the consent for processing is withdrawn.  

For the purpose of publishing the participants’ list and meals preparation - until the end of the event or until the consent for processing is withdrawn.  

For informing about scientific events organized by IFJ PAN  - until the consent for processing is withdrawn.  

6. Your personal data will not be used for automated individual decision-making, including profiling.

7. You have the right to:

- demand access to your personal data and receive a copy of your data, 

- rectification (correction) of your personal data,

- restriction of processing of your personal data,

- erasure of your personal data (does not apply to situations where data processing is necessary to fulfil the obligation arising from the law),

- object to processing of your personal data. 

8. You have the right to withdraw your consent at any time, without affecting the lawfulness of processing based on the consent given before its withdrawal. In order to withdrawn your consent, please send an e-mail to: phdia2025@ifj.edu.pl

9. You have the right to lodge a complaint to the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, www.uodo.gov.pl), if you believe that your personal data are being processed contrary to the law.10    Providing your personal data referred to in point 3 a) nad b)  is obligatory and the consequence of not providing the data is  inability to participate in the conference. Providing your personal data referred to in point 3 c) and d) is voluntary. Failure to provide the data referred to in point 3(c) will not have any consequences and failure to provide the data referred to in point 3(d) will result in inability to prepare meals according to your dietary preferences . 

11. In case of connecting remotely to lectures with your camera and/or microphone switched on, your image and voice will be provided to the provider of the Zoom platform.
